U-Lease (“we,” “our,” “us”), located at 10200 Avenue des Récollets, Montréal-Nord, Quebec H1H 4E6, operates a vehicle rental service and the website uleaserental.com. This policy describes how we collect, use, disclose, retain and protect your personal information, in accordance with the Act respecting the protection of personal information in the private sector (CQLR, c. P-39.1) and other applicable laws.
The person in charge of the protection of personal information at U-Lease can be reached by email at Info@uleaserental.com or by phone at 514 999-1433. In the absence of a written delegation, this role is exercised by the person with the highest authority in the company.
In connection with a reservation or rental, we may collect: your name, address, telephone number and email address; your date of birth and the information appearing on your driver's licence; your payment information (processed by a secure payment service provider — we do not retain your full card number); the details of your reservation and rental; the information required to process an insurance claim (including the accident report and related documents); and the information you voluntarily provide through our contact forms. When you browse our website, certain technical information (IP address, device type, pages visited) may be collected through cookies (see Section 8).
We use your personal information solely for the following purposes: processing and managing your reservations and rental agreements; verifying your eligibility to rent (driver's licence validity, minimum age); collecting payments and deposits; managing claims, accidents and recoveries; complying with our legal, tax and insurance obligations; communicating with you about your rental; and, with your consent, sending you offers or commercial communications. We collect only the information necessary for these purposes.
Except as otherwise permitted by law, we collect your personal information directly from you and with your consent. You may withdraw your consent at any time, subject to legal or contractual restrictions; however, withdrawing consent for purposes necessary to the performance of the rental agreement may prevent us from providing the service. Consent to commercial communications is separate and optional, and you may unsubscribe at any time.
We do not sell your personal information. We may disclose it, to the extent necessary, to the following third parties: our insurers and their representatives in connection with a claim; our payment service providers; our technology service providers (including the booking platform that hosts our website); public authorities where required by law (for example, for traffic tickets or offences); and our professional advisors. These third parties may use your information only for the purposes for which it is disclosed to them.
Some of our service providers may store or process personal information outside Quebec. Before communicating personal information outside Quebec, we carry out a privacy impact assessment to ensure the information receives adequate protection, as required by law.
Our website uses cookies necessary for its operation (including the booking process) and, where applicable, audience measurement and advertising cookies. Cookies that are not necessary for the operation of the website are activated only with your consent. You can configure your browser to refuse cookies; some features of the website may then be limited.
We retain your personal information only for as long as necessary for the purposes for which it was collected, and for the retention periods required by tax laws and by our legal and insurance obligations. Once the purposes have been fulfilled and the legal periods have expired, the information is securely destroyed or anonymized in accordance with the law.
We implement reasonable physical, technological and organizational security measures to protect your personal information against loss, theft, and unauthorized access, use or disclosure, including limiting access to employees who need it, password protection, and encryption of communications on our website.
We keep a register of confidentiality incidents. If an incident presents a risk of serious injury, we will promptly notify the Commission d'accès à l'information du Québec and the persons concerned, and we will take reasonable measures to reduce the risks and prevent similar incidents from occurring.
In accordance with the law, you have the following rights, among others: the right to access the personal information we hold about you; the right to have inaccurate, incomplete or ambiguous information rectified; the right to withdraw your consent; the right to request that the dissemination of information cease or that it be de-indexed in the cases provided by law; and the right to portability, that is, to obtain the computerized personal information you have provided to us in a structured, commonly used technological format. To exercise these rights, send a written request to the person in charge of the protection of personal information (Section 2). We will respond within thirty (30) days of receiving the request.
If you are dissatisfied with the way we handle your personal information, you may file a complaint with the person identified in Section 2. You may also contact the Commission d'accès à l'information du Québec (www.cai.gouv.qc.ca).
We may update this policy from time to time. The version in force is the one published on our website, with its update date. In the event of a significant change, we will inform the persons concerned by appropriate means.
